What data we collect
We collect personal data in the following circumstances:
Candidate data
When you register with us, submit a CV, or apply for a role, we collect: your name, contact details (email, phone, address), employment history, qualifications, skills, salary expectations, right-to-work status, and any other information included in your CV or application. We may also collect information you provide during interviews or calls with our consultants.
Client data
When you engage us to recruit on your behalf, we collect: your name, job title, business contact details, and details about your hiring requirements.
Website enquiries
When you submit a contact form or register your interest via the website, we collect your name, email address, phone number, and the content of your message.
Automatically collected data
Our website may collect technical data including your IP address, browser type, pages visited, and time of visit. See our Cookies Policy for detail on how we use this.
How we use your data
We use personal data for the following purposes:
- Matching candidates to suitable job opportunities
- Communicating with you about live roles and applications
- Presenting your profile to prospective employers (with your consent, and anonymised until you agree to be put forward)
- Managing our client relationships and delivering our recruitment service
- Complying with legal obligations, including right-to-work checks
- Improving our website and understanding how people find us
Our legal basis under UK GDPR
We process your personal data under the following legal bases:
- Legitimate interests: Matching candidates to roles and managing our recruitment service. We have assessed that this does not override your rights.
- Consent: Where we send marketing communications or present your profile to a specific client for the first time, we rely on your consent. You can withdraw consent at any time.
- Contract performance: When you engage us to find you a role or to source candidates on your behalf.
- Legal obligation: Where we are required to process data to comply with applicable law.
Sharing your data with clients
We will never share your identifiable CV with a client employer without your explicit agreement. When we present potential candidates to clients, we do so in an anonymised summary format first. Only when you confirm you are happy to be put forward will we share your name and full CV.
We do not sell personal data to third parties. We do not share candidate data with employers outside of the recruitment process.
Our applicant tracking system
We use Recruiterflow as our applicant tracking system (ATS). Your data is stored securely within Recruiterflow's platform. Recruiterflow is compliant with applicable data protection legislation and acts as a data processor on our behalf. Their privacy policy is available on their website.
How long we keep your data
We retain candidate data for two years from the date of your last meaningful contact with us. After that, we will delete your record or contact you to ask if you wish to remain on our database.
Client contact data is retained for as long as the business relationship is active and for seven years thereafter, in line with standard accounting and legal requirements.
Website enquiry data is retained for 12 months unless it leads to an ongoing candidate or client relationship, in which case the relevant retention periods above apply.

Under UK GDPR, you have the right to:
- Access: Request a copy of the personal data we hold about you.
- Correction: Ask us to correct inaccurate or incomplete data.
- Erasure: Ask us to delete your data, subject to any legal obligations we have to retain it.

- Portability: Request your data in a machine-readable format where technically feasible.
- Objection: Object to processing based on legitimate interests.
- Withdraw consent: Where we rely on consent, you can withdraw it at any time without affecting the lawfulness of prior processing.
To exercise any of these rights, contact us at info@yorkshireprecision.com. We will respond within one month.
